WordPress websites and business systems
Start

The process already exists. It just lives in someone’s head.

We turn how your business actually runs into a working system: intake, routing, approvals and records, built on Gravity Forms and Gravity Flow inside the WordPress site you already own.

Book a call See the five stages Built on the Operating plan, or as a one time build.
01 / What it looks like now

You probably recognise at least two of these.

A

It starts as an email, a text or a call. Nothing is a record until somebody types it somewhere.

B

It waits on one person. The job sits for four days because the approval is buried in an inbox.

C

It gets typed twice. The same details entered into the calendar, the CRM and the invoice by hand.

None of this is a people problem. It is what happens when a real process is held together by memory and good intentions instead of being built.

02 / The decision

Rent another platform, or build it into the site you own.

Another SaaS subscription

Priced per user, forever. Your data in their database, your process bent to fit their forms, another login for a crew that will not use it.

✕ Year three: price rises, you migrate again
Build it on what you own

Gravity Forms and Gravity Flow inside your own WordPress site. Flat cost regardless of headcount, your data, your rules, and it stays yours if we part ways.

We are not against software you rent, and we will say so when a product genuinely does it better. But most of what service businesses, schools and ministries need is a handful of forms, some routing rules and a record of what happened, and that belongs in the site you are already paying for.

03 / How we build it

Every system we build has the same five stages.

Whatever the business does, the shape is the same: something comes in, it goes to the right person, somebody decides, the work happens, and it is all written down. We build them in order and put each into real use before starting the next.

04 / Stage 1 of 5 / Capture

The request stops being an email.

A form that asks the right question next instead of all of them at once. Conditional logic, required photos or documents, address validation, and the answer saved as a structured record the moment it arrives.

Asks less Six relevant fields instead of twenty generic ones Catches more Required detail up front, so nobody chases it later Starts a record Not an email somebody has to remember to act on
05 / Stage 2 of 5 / Route

It goes to whoever actually owns it.

Service area, dollar amount, department, property, workload: whatever decides who handles a request in your business is what decides it here. No triage inbox, no forwarding chain.

Fig. 3 / Route Stage 2 of 5

By rule Area, amount, department or property To a person Or to a role, so holidays don’t break it With the detail Everything they need to decide is already attached
06 / Stage 3 of 5 / Approve

One click, on a phone, in the parking lot.

The approver gets a link, sees only what matters, and approves or rejects. If it sits too long it escalates on its own. Every decision is timestamped with who made it.

Fig. 4 / Approve Stage 3 of 5
01Capture02Route03Approve04Act05Record
One click No login hunt, no PDF to print and sign Escalates If it waits too long, it moves up by itself On record Who approved what, and when, permanently
07 / Stage 4 of 5 / Act

The approval triggers the real work.

A calendar event is created, the CRM record is updated, the invoice is drafted, the crew is notified, the customer gets the confirmation. The things a person used to do by hand, done the same way every time.

No double entry The data goes where it needs to go, once Same every time The sequence does not depend on who is on shift Customer told Confirmation goes out without anyone remembering
08 / Stage 5 of 5 / Record

You can answer questions about March in ten seconds.

Every request, decision and action stored in one searchable place that you own, exportable whenever you want it. The history is the part that pays off in year two.

Fig. 6 / Record Stage 5 of 5
01Capture02Route03Approve04Act05Record
Searchable By customer, date, status, amount, whoever touched it Exportable Your data, in a format you can take anywhere Measurable Average approval time, volume, where things stall
09 / What it is built on

Three pieces, all of them yours.

WordPress The site you already own, already pay for and already log into Gravity Forms Every form, with the conditional logic that keeps them short Gravity Flow The routing, approvals, escalation and the record of every step Your tools CRM, calendar, accounting and payments, connected rather than replaced

We work in Gravity Forms every day, including on the support side of the product itself. That is the main reason we build systems this way: we know exactly what it can carry and, just as usefully, where it should not be pushed.

10 / What people have us build

Six shapes, over and over.

Quoting and estimates Intake that collects what you need to price the job, routed to whoever prices it.
Approvals and sign offs Purchases, discounts, time off, change orders: anything that needs a yes from someone specific.
Applications and enrollment Multi step applications with documents, review stages and a decision the applicant can see.
Facility and event booking Requests checked against availability, routed through the departments that have to agree.
Member and client portals Role based access so people see their own records and nobody else’s.
Service requests and dispatch A request becomes a scheduled job, an assigned crew and a notified customer.

If yours is not on the list, it is usually a version of one of them. Tell us the process and we will say which.

11 / Your route

Which one is you?

Most people are the middle one, so that is what is showing. Pick another and the option below changes.

  We know the process

It is documented, or at least settled. We just need somebody to build it properly.

Most clients Build it and keep it running

We want the site and the system on one plan, and someone to keep improving both.

  Not sure what we need

We know it is broken. We cannot yet say what the system should look like.

Operating plan $1,600 / month

The website and the system on one monthly fee, built in phases and improved every month afterwards. This is where most clients land, because the process keeps changing and so should the system.

The site rebuild, in phases
Gravity Forms and Flow builds
Changes included, not quoted
Hosting, updates, backups, monitoring
Conversion testing on the site
Monthly report and strategy call
Book a call about this Six or twelve month start, then month to month
End / Three ways to start

Pick the one that matches how sure you are.

Route 1 Book a call

Thirty minutes. Tell us the process that is costing you the most and we will tell you what building it would involve.

Route 2 Process map session

A half day with the people doing the work, and a diagram of how it actually runs. Yours to keep whatever you decide next.

Route 3 Start a plan

You already know what you need built. Choose a plan and we will have your map session booked this week.

Common questions
Do we have to move off the tools we already use?

No. In most builds the workflow feeds the tools you already pay for: your CRM, calendar, accounting and payment processor. We replace the manual re-typing between them, not the tools themselves.

What happens if we stop working with you?

It keeps running. The system lives in your WordPress site, on licenses in your name, with documentation we hand over. That is the main reason we build it this way instead of on a platform you rent.

How long before something is actually in use?

The first working stage is usually live within the first month or two of the plan. We build one stage at a time and put each into real use before moving on, so your team is never handed five new things at once.

Can our team change the forms later without calling you?

Yes, and we show them how. Form fields, notifications and wording are all editable by your staff. We are there for the structural changes, and for the month something unexpected comes up.

How we work
The quote is the price

If we misjudged the work, that is ours to absorb.

We will tell you no

If a system is not the answer, we say so before we take the money.

You own everything

Site, licenses, data and documentation, all in your name.

A person, not a portal

You talk to whoever is building your system.
